Bilvora - Invoice & Estimate Maker
Bilvora is a simple way to make invoices, estimates, receipts and purchase orders without a spreadsheet template. You pick a client, add line items, and the totals, discounts and tax are worked out for you. When the document is ready you preview it as a PDF, download it to attach to an email, or print it.
It is aimed at freelancers, tradespeople and small businesses who send a handful of documents a month and want them to look tidy and add up correctly. Estimates can be turned into invoices once the client agrees, and recorded payments keep a running balance, so the home screen shows what is still owed to you.
There is no account and no server: clients, documents, your logo and signature are stored only in this browser. Bilvora never takes payments itself; your bank details or payment links are simply printed on the document.
The app runs entirely in your browser. What you enter is saved only on this device.
How to use Bilvora
- Set up your business. Open Settings, then Company profile. Enter your business name, address, contact details and tax number, add your logo, and type the bank details or payment links you want printed on every document.
- Check document defaults. Under Document defaults choose your currency, paper size (A4 or Letter), payment terms and number format. Add the tax rates you use under Tax rates, for example a standard and a reduced rate.
- Create a document. Tap New and choose Invoice, Estimate, Receipt or Purchase Order. Pick an existing client or type a new name; a name is all that is required.
- Add line items. Tap Add line and enter the item, quantity, unit price, tax rate and an optional line discount. The line amount updates as you type. Tick Save to item library to reuse it next time.
- Adjust the totals. Add a document discount as a percentage or amount, enter shipping, and switch on tax-inclusive prices if your prices already include tax. Attach photos or a signature if needed, then tap Save.
- Preview and send. Open the document and tap Preview to see the PDF. Share downloads the PDF so you can attach it to an email; the print button opens your browser's print dialog.
- Record payments. When money arrives, tap Record payment and enter the amount. Partial payments are allowed; the status changes to partly paid or paid and the outstanding total on the home screen updates.

What a clear invoice contains, and how the totals are calculated
The essentials
A good invoice answers three questions at a glance: who is asking for money, for what, and by when. That means your business name and contact details, the client's name, a unique invoice number, the issue date, a due date or payment terms, a list of what was supplied with quantities and prices, the total, and how to pay. Many countries add their own requirements, such as a tax registration number, the client's address, the tax rate and amount per line, or wording for reverse-charge or tax-exempt sales, so check the rules where you are registered.
Numbering and dates
Invoice numbers should be unique and in sequence, without gaps you cannot explain. A prefix such as INV- for invoices and EST- for estimates keeps document types apart. The issue date is when you bill; payment terms such as "Due on receipt", "14 days" or "30 days" set the due date. An invoice becomes overdue the day after its due date, which is the natural moment to send a polite reminder.
Discounts, tax and shipping
Bilvora works from the line up. Each line is quantity times unit price, minus any line discount. Those line amounts add up to the subtotal. A document discount is then taken off the subtotal and shared across the lines in proportion to their value, so each tax rate is charged on its own discounted share. Shipping is added at the end.
With tax-exclusive prices, tax is added on top: a 100.00 line at 10% becomes 110.00. With tax-inclusive prices the tax is already inside the price, so it is extracted instead: 110.00 at 10% contains 10.00 of tax (110 minus 110 divided by 1.10). Amounts are rounded to the currency's smallest unit, which is why a 5% discount on 3,375 yen shows as 169 yen.
Estimates versus invoices
An estimate or quote is an offer: it states what you expect to charge and usually how long the price is valid. It does not ask for payment. Once the client accepts, converting it into an invoice copies the same lines and gives the invoice its own number, while the estimate stays on file as converted. Receipts confirm that payment has been received, and purchase orders are what a buyer sends to a supplier.
Getting paid on time
Clear payment instructions shorten the wait. Print your bank details exactly as the client should enter them, add a payment link if you use one, keep the due date visible, and record each payment as it arrives so partial payments are not forgotten.
Frequently asked questions
Is Bilvora free to use in the browser?
Yes. Documents, clients, items, tax rates, payments, PDFs and backups work without an account, with no limit on the number of documents.
Where is my data stored?
Only in this browser on this device, including your logo, photos and signature. Nothing is uploaded. Clearing site data or using a private window deletes it, so download a backup now and then.
How do I send an invoice to a client?
Open the document and tap Share. In the browser this downloads the PDF for you to attach to an email or message, and the document is marked as sent.
Does Bilvora calculate tax correctly for my country?
It applies the rates you enter, either on top of prices or included in them, and rounds to your currency. It does not know local tax rules, so set the rates and wording yourself and check with an accountant if you are unsure.
Can Bilvora take card payments for me?
No. Bilvora never handles money. Your bank details and payment links are printed on the document and the client pays you directly.
Can I move my data between the browser and the phone app?
A backup ZIP made in the phone app can be restored here, including its images. Images in a backup made on the web are not read by the phone app, although the documents are.
How is the web version different from the phone app?
The core document workflow is the same. The apps can also send overdue reminders and keep weekly automatic backups on the device; their Premium upgrade adds extra PDF templates, several company profiles, recurring invoices, CSV and report export, and removes the small footer credit on PDFs. Purchases are not available on the web.
Limitations of the web version
- Overdue reminders are not available, because browsers cannot notify you when the page is closed
- Share downloads the PDF instead of opening a share sheet
- Automatic weekly snapshots are app-only; use the manual backup download
- Premium features (extra templates, several company profiles, recurring invoices, CSV and report export) are app-only and cannot be bought on the web
